更灵活的办公模式?
共享工作空间是好选择!

2019冠状病毒病于两年前爆发之前,共享工作空间(Co Working)领域才刚在大马萌芽,但备受看好可成为办公产业市场的生力军。

然而,一场看似“没完没了”的疫情重创各领域,共享工作空间也不例外,过去2年共有15%的共享工作空间“消失”了。

这个原本前景看俏的领域,是否已因这场疫情而倒退?还是,该领域反而在疫情期间逆流而上,持续扩张业务的业者也大有人在?

随着越来越多的企业实行灵活工作模式,共享工作空间料将更红火。

国内其中一家主要共享办公空间业者WORQ的一项市场调查显示,基于越来越多的公司允许员工灵活作业,采取居家上班、远程作业或回公司上班的混合作业模式,现有共享工作空间租户所租用的空间规模不断扩大。

按人数计租金较廉宜

由于共享工作空间的商业条款非常灵活,例如租金是按租户员工人数计算,而不像传统办公空间是按使用的空间计算,因此相对较为廉宜又可灵活变通,因此日益受到企业租户的欢迎。

跨国产业顾问公司莱坊指出,去年第三季经济逐步重启,企业雇员纷纷回到公司上班过后,共享工作空间的需求也随着回升。

郑扬建。

大马莱坊企业服务部执行董事郑扬建说:“居家作业和其他替代工作方式,促使企业采取新的职场策略,这已令市场对共享工作空间的兴趣稳步扬升。”

他接受《南洋商报》专访时指出,国内共享工作空间的租金在本区域相对廉宜,这对寻求迅速在大马设立据点的跨国企业而言具有很大的吸引力。这类外资可以先租用租约灵活的共享工作空间,过后才在大马全面营运。

落后区域平均水平2%

仲量联行(JLL Property Services (M) Sdn Bhd)的市场研究显示,吉隆坡在灵活办公空间的市场渗透率方面,远远落后本区域各主要城市。

本区域的平均市场渗透率为3%,大马只有1%。这意味着,大马落后区域平均水平2%,也意味着大马共享工作空间未来的发展空间还很大。

未来10年办公
30%料转用灵活空间

WORQ 联合创办人方蔚怡指出,1%的市场渗透率相等于100万平方尺的办公空间。未来5年,预计灵活办公空间将急速增长至300万平方尺。

所谓的市场渗透率,是指灵活工作空间在总办公空间所占的比率。目前,中国两个最大城市北京和上海的灵活办公空间市占率皆是本区域最高(皆6%),新加坡和曼谷居次(皆4%),接着是胡志明市(3%)和雅加达(2%)。

仲量联行则预计,未来10年,30%的办公空间将转向使用灵活办公空间。

方蔚怡接受《南洋商报》线上专访时说,根据30%灵活办公空间推算,WORQ预计,吉隆坡灵活办公空间市场将在未来10年增至1500万平方尺,总值30亿令吉。

疫情下加速发展

她指出,疫情非但没有令共享工作空间的发展倒退,反而是加速了该领域的发展。

这是因为疫情迫使人们居家作业,但人们不可能永远宅家,人与人之间需要互动和社交活动,最好的方式是将员工分散工作的方式,即根据公司的实际需求来灵活的增减办公空间。

而在当下这个后疫情时代,许多企业考虑采用这种灵活变通的混合作业模式,让员工回到公司上班的同时,也让他们以某种形式的灵活变通方式工作,例如允许一个星期5个工作日当中,有2或3天居家作业,其余工作日则回到公司上班。

但人类是群居动物,始终需要一个地方见面、交流和开会等,他们可以到共享工作空间。这就好比学生不可能永无止境的上网课,总要回到学校上实体课一样。

“员工们需要一个可以交流和协作的地方来工作,他们可以共用一张桌子,而非传统的一人一张桌子来工作。”

她援引一项报告指出,15%拥有灵活工作场所的员工,在工作上有更高的生产力和效率。

“这里也可以列举一个实例,某家跨国企业的总部大厦顶楼过去整个楼层都是高阶领导层的办公室,如今改为会议、活动与培训空间,而该公司发现此举令整间公司的营运更富效率。高阶领导层改为以灵活的方式工作。”

供应减15%非走下坡

由于行动管控令,国内共享工作空间的总供应量过去2年减少15%,或15万平方尺。

方蔚怡指出,这不代表共享工作空间行业在疫情期间走下坡,因为事实上,过去4年,大马共享工作空间领域取得迅速的增长。

她以WORQ本身的情况为例,指由于企业为所有员工作出灵活的工作安排,WORQ共享工作空间所服务的人数激增10至50倍。

因此,过去两年共享工作空间的市场供应减少15%,除了是小部分业者不堪疫情而关闭,主因其实是疫情爆发和管控令下,共享工作空间的营运空间必须减少,遵守一米人身距离等防疫标准作业程序。

这意味着,所有公用空间包括会议室在内,每张桌子的座位数量必须减半,而活动空间也暂时关闭,以减少访客人数。

“会议室、讨论室和私人办公室的容量,也已按照规定进行了调整。”

WORQ联合创办人姚国宏补充,其实就跟任何行业一样,共享工作空间领域有新的业者进驻之余,也有旧的业者离开,一些业者缩小营运规模,但也有业者持续扩张。

“这两年来,有些业者表现特出,有些苦苦挣扎,部分发现本身的营运模式行不通,最终选择离开这个行业。”

“但与此同时,有些业者的营运模式证明成功,并在疫情中持续增长,变得更强。”

灵活变通受跨国企业喜爱

共享工作空间源自西方国家,这个概念引入大马时,起初多由初创公司和自由职业者采用,后来被中小企业采用,如今则广泛获跨国企业采用。

跨国公司和大企业正大量采用共享工作空间,因为如果租用传统的办公空间,一般上需要签署至少3年的租约,但租用共享工作空间的话,只需签约一年,公司就可以轻松扩大或缩小规模。

提供一篮子解决方案

方蔚怡指出,跨国企业大量采用共享工作空间,基于以下几个主因:

(一)他们需要灵活变通。他们不确定公司未来的增长和团队规模如何,因为未来可能会增加或减少员工人数,而且由于疫情,很难对未来进行企划。

(二)跨国企业发现,很难将自己锁定并解决所有令人头疼的问题。

“如果他们(跨国企业)来找我们,我们会为他们提供一篮子解决方案,因为我们可以为他们规划员工人数。这些员工不是天天来共享工作空间上班,有些员工也不是一人一个固定的座位。 因此,我们为他们提供工作场所的策略规划,也为他们提供一篮子的解决方案

“如果我们已有一个办公空间,那么我们会为他们规划他们需要多少共享工作空间。此外,若他们想缩小规模,并放弃公司办公室,只保留2层楼作为公司总部营运,其余的使用共享工作空间,那么他们可以从中省下一大笔钱。

“跨国企业认为,他们不仅获得了共享工作空间,更从中获得了更好的工作环境。他们的员工显得更快乐、更乐于助人,许多CEO想要了解如何能改变公司的企业文化,如何迎合年轻世代的员工。

“实际上,首先要做的是来到共享工作空间,他们可以立即看到并体验它,这是在不增加跨国公司成本的情况下,获得更多灵活性的方法。”

中心辐射模式减营运成本

随着大企业探索灵活办公解决方案,转向中心辐射模式(hub and spoke model),大型团队的咨询数量非常可观。

所谓中心辐射模式,是指企业把员工分散在几个外围的地点作业,但以设在市中心的公司总部为中心。这种做法在减少总部的员工人数和所需的办公空间,进而降低昂贵的租金和其他营运开销之余,也让员工分散在租金和营运成本较廉宜的数个外围地点作业。

在共享工作空间营运的大企业比比皆是,包括国油贸易(PETDAG,5681,主板消费股)、百乐园(PARAMON ,1724,主板产业股)、亚航集团(AIRASIA ,5099,主板消费股)的物流部门 Teleport 和线上二手车交易平台 Carsome等。

方蔚怡说,目前市场上普遍看到的情况,就是员工要求更灵活的工作方式,因为他们已尝试过,并想要一些额外的东西,而年轻世代的员工则需要一个更有利的工作环境,这对他们来说更有启发性。这种现象其实不是坏事,因为一旦雇主们能满足员工的这些需求,将让员工们更好地工作。

疫情期间,一些企业撤离传统办公空间,有者甚至2个以至3个楼层悉数退租,改为以居家或远程方式作业。

业主可以做的是,如果有关建筑物已有共享工作空间,那么可设法说服企业租户让部分员工改为在有关共享工作空间内上班,以和该企业租户保持良好的宾主关系。

“有朝一日,当这些企业租户再次扩充业务时,可能会再度向业主租赁更多的办公空间。”

最大限度将员工分布多处

方蔚怡指出,相对于租用传统的办公空间,企业租用共享工作空间,可以省下40%的初步开销,因为企业租用共享工作空间时,无需另花一大笔钱进行装修或翻新。

而且,共享工作空间的租金是按使用空间的企业员工人头计算,而非如传统的办公空间般按所租用的空间计算,因此企业租用共享工作空间,将大大节省租金成本。

租户也无需支付庞大的水费和电费,因为共享工作空间的租金也计算在内。

她指出,灵活办公空间的选项,让企业能最大限度地发挥把员工分布在多个不同地点工作,以降低“把鸡蛋放在同一个篮子”的风险,并节省营运成本。

她说,其实,很多企业都在浪费办公空间,例如一些企业纯粹是因为担心日后不够空间,而一下子租用了太多空间,过后才发现,其实并没用到这么多空间。

即使当前有些企业让员工100%居家作业,不再租赁办公空间,但其雇员仍需时不时地见面,而他们不可能每次都在消费昂贵的咖啡厅见面,他们肯定仍需要一个办公空间来工作或开会,所以他们可以使用会员卡,在共享工作空间工作、开会或培训。
